Feature
Turn tracked work into a clear client invoice.
Hoursmith carries the source of the work into the invoice instead of asking you to rebuild it in a spreadsheet. Select the right entries and amounts, add expenses or custom lines, then send one immutable client-facing snapshot.

What's in it
Select the exact work
Choose eligible hourly entries, all or part of a fixed fee, and billable expenses. Late or unrelated records do not silently appear after the draft is saved.
Keep each source legible
Time, fixed-project value, expenses, and custom lines remain distinct so the client can understand what they are paying for.
Snapshot integrity
Sending freezes bill-to details, line descriptions, quantities, rates, tax, discount, and totals. Sent invoices do not mutate when the live client or project changes.
Supporting evidence
Attach a client-safe timesheet and selected expense receipts. The supporting timesheet reconciles with invoiced hours without exposing internal rates.
Public delivery and view tracking
Every sent invoice receives a shareable page and PDF. Hoursmith records when the public page is first viewed without making the invoice an indexable search page.
Payment and follow-up options
Offer card payment into your connected Stripe account or configured bank/custom methods such as Wise or UPI instructions. Studio+ reminders can be sent once or scheduled per invoice.
How it works
- 01
1. Choose the client
Hoursmith gathers eligible hourly entries, fixed-fee balances, and unbilled expenses for that client.
- 02
2. Select and review
Choose the exact source records, grouping, fixed allocation, receipts, custom lines, discount, tax, and due date.
- 03
3. Save the draft
The draft reserves selected fixed-fee value and keeps the source records tied to the invoice.
- 04
4. Send the immutable snapshot
The client receives the invoice and optional supporting documents through the configured sender and public link.
- 05
5. Follow the balance
Track views, send reminders, record manual payments, or let Stripe confirm an online payment automatically.
What Hoursmith is not
Hoursmith does not create estimates, proposals, contracts, recurring invoices, or automated tax filings. It starts at delivered work and ends at payment records.
Common questions
Can I choose which time entries appear?
Yes. The builder previews eligible un-invoiced hourly entries and saves exactly the entries you select.
Can the client receive the timesheet and receipts?
Yes. Add the client-safe supporting timesheet and selected billed-expense receipts to the email and public invoice page.
Can I edit an invoice after it is sent?
No. Sent invoices are immutable. Cancel and reissue an unpaid invoice when the commercial record needs to change.
