Feature

Keep client work moving—and bill every hour.

Hoursmith keeps the task and the billable work in the same place. Use a workspace-wide board or a project board, switch to a list when density matters, and start the timer without leaving the task.

What's in it

  • One board across every client project

The global task board brings open work from accessible projects into the same three columns. Filter by project, assignee, status, or search text without losing the cross-project view.

  • Project boards and compact lists

Each project has its own Kanban and list views. Board cards show priority, dates, tracked versus estimated time, checklist progress, and the project context where needed.

  • Enough structure for service work

Set low, medium, or high priority; estimated hours; start, end, and due dates; tags; and up to 50 checklist items. Rich descriptions support links, images, and private attachments.

  • Conversation stays on the task

Comments support @mentions and attachments. Mention and assignment choices respect project membership, so a collaborator is not pulled into work they cannot access.

  • Timer and time entries in context

Start the live timer from the task, log work already completed, and review or edit eligible entries in the task drawer. Invoiced entries stay locked.

  • Financial privacy for collaborators

Member-role collaborators see their allowed projects, tasks, and hours while rates, invoice totals, profitability, client billing data, and money-bearing reports are removed at the server boundary.

How it works

  1. 01

    1. Create or pick the project

The project carries the client, pricing model, access list, and billing policy.

  2. 02

    2. Break work into tasks

Add priority, dates, estimate, tags, checklist, description, files, and up to 20 assignees.

  3. 03

    3. Move work through three clear stages

Drag between To Do, In Progress, and Done on the global or project board—or update status from the list.

  4. 04

    4. Track the work from the task

Start a timer or add completed time. The entry stays linked to the client, project, task, and invoice handoff.

What Hoursmith is not

Hoursmith does not have custom status columns, recurring tasks, Gantt charts, task dependencies, resource planning, or formal time approvals. It is lightweight coordination for service work, not an enterprise planning suite.

Common questions

  • Can I see tasks from every project on one board?

Yes. The global task board combines the projects you can access, while every project also has its own board and list.

  • Can a task have more than one assignee?

Yes. The task form, drawer, detail view, boards, and lists support multiple assignees, up to 20 per task. Member-role collaborators can add or remove only themselves.

  • Can I add comments and files to a task?

Yes. Tasks support rich descriptions, comments, @mentions, inline images, attachments, and checklists. Files remain private and are served through authenticated access controls.

  • Can I start a timer from the task?

Yes. Start or stop the live timer from the task row or drawer, or add past time directly against the task.
